Supporters Club Constitution
Both within the London Wasps Supporters' Club (the 'LWSC'), and within the wider supporter base, there are thousands of dedicated and talented people who can make a positive difference. The LWSC seeks to harness that potential and utilise it for the benefit of both London Wasps, and its supporters.
Objectives
The objectives of the London Wasps Supporters Club ("LWSC") shall be:
- To provide activities and services for the benefit of those who support London Wasps Rugby Club, and specifically:
- To assist supporters wishing to travel to Premiership fixtures through the provision of transport;
- To organise and promote social facilities and activities;
- To engage in fund-raising for the benefit of London Wasps Rugby Club and/or nominated charities;
- To undertake other appropriate activities.
- To promote the interests of supporters and foster constructive cooperation and mutual understanding through liaison with London Wasps Rugby Club and other relevant bodies.
- To support teams and players representing London Wasps Rugby Club both on and off the field.
- To foster good relations with rugby supporters from other Clubs.
Membership
- Membership of LWSC shall be open to all. All London Wasps season ticket holders shall automatically become members of the LWSC without the requirement to complete a membership application form.
- The membership year shall run from 1 August to 31 July.
- An applicant for membership shall complete a membership application form and pay the appropriate annual Membership Fee. Membership shall commence on acceptance of the application form by London Wasps Rugby Club.
- The Membership Fee shall be reviewed annually and any changes shall only be instigated once approved by the Management Committee.
- The Management Committee shall have the right to refuse membership to any proposed member whom it shall deem inappropriate to be a member, subject to the right of appeal to a committee comprising three former members of the LWSC Management Committee and/or three members of staff from London Wasps Rugby Club.
- A register of LWSC members shall be kept by London Wasps Rugby Club.
- LWSC members must at all times behave in an orderly and acceptable manner. If they fail to do so the Management Committee may caution them as to their future conduct, suspend them for a period of time or expel them from the LWSC, subject in all cases to a right to appeal to a committee comprising three former members of the Management Committee and/or three members of staff from London Wasps Rugby Club.
Management Committee
- The activities of the LWSC shall be managed by a Management Committee comprising of between five and eight adult members.
- The quorum for a meeting of the Management Committee shall comprise four elected members.
- The Management Committee shall meet as often as deemed appropriate, all meetings being convened by no less than seven days notice.
- The Management Committee shall, at its first meeting in the membership year appoint a Chairman, Vice Chairman, Secretary and Treasurer, and may from time to time assign responsibilities for matters within its remit as it deems appropriate.
- In the absence of the Chairman of the Management Committee at any meeting, the Vice Chairman shall act as the chairman for the meeting.
- All matters presented to a Management Committee meeting may be determined by a simple majority of the Management Committee members voting thereon. In the case of a vote resulting in no majority, the Chairman shall have a second casting vote.
- The Management Committee shall have the power to co-opt other LWSC Members onto the Management Committee, but these persons shall not have voting rights and shall not be considered in determining whether a quorum exists.
- Representatives of London Wasps Rugby Club may be asked to attend Management Committee meetings from time to time, but these persons shall not have voting rights and shall not be considered in determining whether a quorum exists.
- Minutes shall be kept of all meetings.
- From time to time, and always following the resignation of a Management Committee member, LWSC members shall be asked via the website and match programmes to apply for positions on the Management Committee.
- All LWSC adult members shall be eligible to apply for positions on the Management Committee. LWSC members who were previously on the Management Committee shall be eligible to reapply for a position.
- If less than or the same number of LWSC members apply as there are vacant Management Committee positions then those members will be automatically appointed subject to agreement from London Wasps Rugby Club.
- If more LWSC Members apply than there are vacant Management Committee positions an interview process will be followed. The interviews will be conducted by existing members of the Management Committee and/or London Wasps Rugby Club staff.
- Each season the Management Committee shall ask a member of the London Wasps first team squad to act as the President of the LWSC for that season.
Financial Management
- The Management Committee shall produce a statement of fund raising activities for information for LWSC members at the financial year end (31st May).
- The financial year of the LWSC shall run from 1st June to 31st May each year.
Travel
- The Management Committee shall make arrangements as appropriate to enable LWSC members to travel to home and away matches and other events.
- The cost of travel shall be determined and all travel arrangements shall be made by the Management Committee.
- On any trips arranged by the Management Committee, any LWSC member under sixteen years of age must be accompanied by an adult who will be personally responsible for the welfare of such under sixteen throughout any period of travel and at any away fixture.
- Guests may travel only on being invited by an LWSC member and only if space is available and is surplus to the requirements of the LWSC members, with an additional charge. Any LWSC member bringing a guest shall be responsible for that guest's behaviour.
- Transport arrangements will be posted on the London Wasps website and in match programmes. The arrangements will be strictly adhered to, and no responsibility will be accepted for any LWSC member who is not at the departure point at the appointed time and consequently fails to catch the transport arranged.
- Travel costs (and, where appropriate, match admission charges) must be paid for on or before the date of travel. Any LWSC member or guest who fails to travel after booking their seat may be asked to pay a surcharge on their next booking.
Dissolution
- In the event of the dissolution of the LWSC, any income or property remaining will be allocated to London Wasps Rugby Club or to a charitable purpose associated with London Wasps Rugby Club.
Changes to the Constitution
- Any alterations or additions to this Constitution shall only be made with the agreement of at least 75% of the members of the LWSC Management Committee.
